For over 30 years, A Window Between Worlds (AWBW) has supported individuals and communities impacted by violence and trauma by equipping service providers and community leaders with healing art practices. Through live and on-demand trainings, AWBW provides a framework and ready-to-use art activities that facilitators can integrate into their work to support healing, resilience, and connection. The Development Operations Coordinator plays a central role in advancing AWBW’s fundraising efforts by ensuring donor communications, development systems, and internal workflows are accurate, timely, and aligned. This position blends drafting communications, systems management, and cross-department coordination to support campaigns, reporting, and leadership decision-making. Working closely with the Executive Director & Founder, this role serves as the operational backbone of the development function—supporting donor engagement, maintaining clean and reliable data, coordinating timelines and approvals, and ensuring fundraising efforts are executed with professionalism and care. This role requires excellent written communication skills, strong judgment, attention to detail, and the ability to manage multiple priorities in a mission-driven environment. This role is designed for growth and may evolve for candidates who demonstrate excellence, initiative, and alignment with organizational values.Core Competencies & Key Responsibilities
Development Systems & Data Management

- Maintain accurate, reliable fundraising data within the CRM, including donor records, gifts, pledges, and campaign tracking.
- Build and maintain reports, segmented lists, and dashboards to support appeals, stewardship, leadership, and board reporting.
- Ensure strong data hygiene practices, including deduplication, naming conventions, and documentation of procedures.
Gift Processing & Financial Reconciliation

- Manage gift entry and tracking across platforms (online gifts, checks, pledges, DAFs, stock, and in-kind gifts)
- Ensure timely, accurate acknowledgements and receipts in coordination with fundraising communications
- Track pledges, installment gifts, and soft credits
- Coordinate with Finance to reconcile donations and ensure accurate reporting

- Draft, format, and coordinate donor communications, including appeals, campaign emails, acknowledgements, and stewardship materials
- Support the development and tracking of fundraising campaigns, including timelines, segmentation, and forecasting
- Maintain organized archives of appeal language, impact content, and campaign materials
Reporting, Analysis & Insight Translation

- Produce regular development reports (monthly, quarterly, and board-level)
- Respond to ad hoc data and reporting requests with accuracy and context, supporting leadership decision-making

- Design and improve existing workflows related to gift processing, acknowledgements, appeals, campaigns, and reporting
- Identify opportunities to streamline systems, reduce friction, and improve efficiency across development operations
- Support CRM cleanups, data audits, and system improvements as needed
Cross-Department Collaboration

- Serve as a key liaison between Development, Finance, Programs, and Leadership
- Support scheduling and preparation for donor meetings, board and committee meetings, and development priorities
- Understand how fundraising operations intersect with program delivery, reporting, and organizational goals
Preferred Experience & Qualifications

- 2+ years of experience in nonprofit development, advancement, or operations
- Demonstrated experience with CRM/database systems (e.g., Bloomerang), including reporting and list management
- Strong understanding of donor engagement strategies, supporting appeals, acknowledgements, or donor communications
- Experience managing data from multiple sources with a high level of accuracy and discretion
- Highly organized, detail-oriented, and able to manage competing priorities effectively
